Background
A regional insurance group with 800+ employees across 12 branch offices in the Southeastern United States needed to replace an aging LMS that had become an administrative burden rather than a learning platform.

The challenge
The existing LMS — a legacy platform implemented six years earlier — had become the problem it was supposed to solve. Course uploads required IT tickets. Reporting meant exporting CSVs and manually reconciling data in spreadsheets. Automated enrollment didn’t exist, so the L&D coordinator spent 10+ hours per week manually assigning courses. Mobile access was technically available but unusable — agents in the field defaulted to skipping training entirely. Compliance tracking across 12 states required pulling data from three different systems. Leadership had no dashboard visibility into training status, and the most recent regulatory examination had flagged documentation gaps that traced directly back to LMS limitations.

Our approach
We ran a structured LMS evaluation — scoring four platforms against the client’s requirements across 28 criteria including compliance tracking, HRIS integration, mobile experience, reporting, and total cost of ownership. After platform selection, we configured the new environment with role-based learning paths for five job families, automated enrollment triggers tied to their BambooHR instance via API, jurisdiction-specific compliance assignments by employee location, and real-time dashboards for compliance officers and department heads. We migrated 140+ existing courses, retiring 60+ that were outdated and rebuilding 12 critical compliance modules as interactive scenario-based content. The full migration — platform configuration, content migration, HRIS integration, SSO setup, user acceptance testing, and admin training — was completed in 10 weeks with zero downtime during the cutover.
